FBS order picking: from request to carrier handoff

FBS order picking means selecting goods from warehouse stock using the seller’s request. The order is then packed, labeled and prepared for marketplace handoff. Use this guide to agree on input details, process stages and result checks with your fulfillment warehouse.

What to prepare before your first FBS request

Confirm receiving results and available quantities for each SKU and variant. Clarify how arrivals are recorded and how to reconcile stock; Shipperty balances are available in the customer account. Prepare with the receiving and inventory storage guides.

Agree on request channels and formats, submission times, readiness deadlines, a clarification contact, packaging and label sources. Plan warehouse readiness, carrier departure and marketplace handoff separately. Account for marketplace dispatch timing when agreeing on warehouse work.

What to include in a picking request

  1. Order. Platform and order or shipment identifier in the agreed format.
  2. Contents. A separate line for each SKU and variant: identifier, name, quantity and barcode where needed.
  3. Packaging. Product and shipment requirements, materials and additional inserts.
  4. Labels. Current files and their matching orders and packages.
  5. Timing and handoff. Agreed readiness, destination, transportation date and contact.
  6. Additional checks. Condition, completeness, photographs or other operations where needed.

Identify the current version and confirm that the warehouse received it. Use the fulfillment warehouse brief template to gather details; file and request transfer methods are agreed separately.

FBS order preparation stages

  1. Request review. Check identifiers, contents, available stock, instructions and timing. Resolve unknown SKUs before picking.
  2. Picking. Select goods by the order’s SKUs, variants and quantities.
  3. Contents check. Compare picked items with instructions. Additional product inspections form part of the agreed work scope.
  4. Packing and labels. Prepare the shipment for the platform and product category and match labels to the correct order.
  5. Handoff readiness. Confirm contents, prepared package count and onward dispatch using agreed procedures.

Request example: one order, three SKUs

Illustrative order FBS-104:

  • TS-BL-M — blue T-shirt, size M: 2 units.
  • TS-BL-L — blue T-shirt, size L: 1 unit.
  • SO-GR — gray socks: 2 units.

For reconciliation, this is one order, three SKUs and five product units. Replacing size L with M preserves the total quantity but changes the order contents. After packing, check that the label belongs specifically to FBS-104.

These SKUs and the identifier are illustrative. Box or bag count depends on actual packaging; confirm the meanings of product and order item and the billing unit against the applicable rate entry.

Handling shortages or request changes

Identify who decides on disputed items and which work is paused. If a required size or SKU is missing, agree on the next steps first. Product substitution or order contents changes require agreement with the seller and consideration of platform rules.

If an order changes or is canceled, send current instructions before affected work is carried out. Confirm what happens to picked goods and stock records, which materials or operations have already been used and whether labels need updating. Marketplace account changes and warehouse instructions must match.

Checklist before carrier handoff

  • Order identifiers match current instructions.
  • SKUs, sizes, colors and quantities have been checked; disputed items are resolved.
  • Packaging matches agreed requirements and package count.
  • Labels belong to the correct orders and packages; current documents meet platform requirements.
  • Readiness, destination, date and handoff arrangements are agreed with the carrier.
  • Handoff confirmation and stock changes can be reconciled in the agreed format.

What does the warehouse need to prepare an FBS order?

Provide the platform and order identifier, SKUs and variants with quantities, packaging requirements, current labels, readiness timing and handoff arrangements. Agree on request formats, additional inspections and changes with the warehouse.

Can an unavailable size be replaced with a similar product?

First agree on the decision with the seller, considering platform rules. Size, color and SKU are part of the specific order contents. For shortages, clarify next steps, current order details and warehouse instructions before affected work continues.

Does picking include packaging, labels and delivery?

Define the work scope for a quote. Confirm picking, packing, label application, materials, inspections and storage against the chosen operations. Ready order transportation is priced separately by route and cargo details.

When can a prepared order be handed to the carrier?

After confirming readiness against agreed instructions: contents, packaging, labels and package count. Confirm the date, route and handoff arrangements in advance. Warehouse readiness does not mean automatic marketplace receiving.
