How to write a fulfillment warehouse brief

A fulfillment warehouse brief describes which goods will arrive and what must happen before dispatch. Clear SKUs, quantities and instructions make it easier to agree on costs and check the result. Below is a brief structure for FBS orders and FBO shipments, with examples and a template to fill in.

Define the warehouse task first

Specify the marketplace, sales model and expected result: individual FBS customer orders or a prepared batch for marketplace warehouse storage. See the FBS vs FBO guide for workflow differences.

List the operations you need: unloading, receiving, storage, picking, packing, labeling and additional checks. Mark work already completed. Agree on operations, materials and readiness time before goods arrive; account for the marketplace handoff date separately.

How to prepare a product list

Give each product variant a separate row in the agreed spreadsheet: seller SKU, name, color, size or other distinguishing attribute, barcode where used, and unit quantity. Add weight and dimensions where needed for pricing and packaging selection.

If the seller’s inventory SKU differs from marketplace or packaging identifiers, supply the mapping. Photos help distinguish similar goods but do not replace identifiers and quantities. Label files must clearly match the objects they are applied to.

What to agree on for batch receiving

  • Arrival. Planned date, incoming box or pallet count, weights and dimensions. Arrange warehouse arrival time in advance.
  • Contents. Product list and quantities; distribution across boxes where needed. Transport package count does not replace product quantities.
  • Receiving method. Unit counting or box receiving, unloading needs and selected checks. These are separate operations.
  • Discrepancies. Who to contact about shortages, extra goods, damage or unknown SKUs; which operations to pause pending a decision.
  • Storage. Whether goods need storage after receiving, expected volume and duration. Agree on conditions and placement for your batch.

Arrange photos, completeness checks or functionality tests separately where needed. Do not assume every receiving service automatically checks all product properties.

How FBS and FBO instructions differ

FBS: a separate request for each order

Provide the order identifier, item SKUs and quantities, packaging requirements, current labels and readiness deadline. Agree on request delivery and updates: for example, how to notify the warehouse of cancellation or changes before picking begins. The warehouse must know which instruction version is current.

FBO: a shipment product list

Specify the shipment identifier, SKUs and quantities, treatment required for each product, box or pallet preparation instructions and matching labels. Distinguish product operations from transport package operations. After packing, confirm actual package count, dimensions and weights for transportation.

Check the result and agree on changes

  1. Record the current brief: date or version number, product list, operations, materials and readiness deadline.
  2. Agree on the check scope: what is counted, which properties are inspected and whether a separate photo report is required.
  3. For prepared cargo, compare contents and quantities with the brief, check packaging, label matching and transport package count within the agreed inspection scope.
  4. Before changed work is performed, confirm the updated brief, price and timing. Supply updated labels and data where the change affects them.

For an unknown SKU, missing stock or conflicting labels, agree on a decision first. Any substitution of size, color or product needs explicit confirmation; the warehouse should not guess which variant suits the customer.
