Warehouse receiving: prepare a batch and check the results

Warehouse receiving is the first stage of fulfillment. Check not only box counts but also batch contents within the agreed inspection scope. This guide helps you prepare an arrival, choose a receiving method and resolve discrepancies before order picking or shipment preparation.

Receiving boxes and counting products are different tasks

First establish what you are handing over: goods for subsequent picking or prepared transport packages for storage. Box receiving records packages within the agreed scope; it does not by itself mean opening every box and checking every item.

For individual product handling, agree on receiving by SKU and unit. Sizes, colors and other variants must be distinguishable in the batch list. See the warehouse brief guide for product lists and work instructions.

  • Unloading: moving incoming cargo from the vehicle; arrange the need and method separately.
  • Receiving: checking arrivals using the selected method — products, boxes or packages.
  • Additional inspection: completeness, condition or functionality checks, photos, measurements and weighing under separate instructions.

Confirm exactly what is checked and how results are recorded. Receiving does not replace every possible quality check or a subsequent inventory count.

What to prepare before warehouse arrival

  1. Batch list. SKUs, names, variants and quantities for each position. Supply identifier mapping if product markings differ from your list.
  2. Cargo details. Box or pallet count, weights, dimensions and planned delivery date. Add product distribution across boxes where needed for the agreed receiving method.
  3. Clear identification. Goods and packages must match the batch list. Separate similar variants so the warehouse can distinguish them; agree on identification methods in advance.
  4. Work scope. Unloading, receiving method, selected checks, subsequent storage or dispatch preparation.
  5. Decision process. A responsible contact and actions for shortages, extra goods, damage or unknown SKUs.

How to plan receiving

  1. Confirm the brief. Agree on the current batch list, operations, price and timing before arrival.
  2. Hand over cargo. Deliver at the agreed time. Arrange unloading and transport package handoff with the warehouse.
  3. Check arrivals. The warehouse performs the agreed receiving and inspections. Compare results with the list version used for that batch.
  4. Resolve discrepancies. Confirm further actions for disputed positions before processing them.
  5. Agree on the next stage. Storage, FBS picking or FBO batch preparation proceeds under confirmed instructions.

Vehicle arrival and goods readiness for picking are different milestones. Standard and urgent receiving have separate rate table terms; confirm the option and timing in advance.

Why matching the total quantity is not enough

Check each position where receiving by SKU is agreed. This illustrative example shows how the batch total can conceal an error.

Both the list and the actual batch total 100 products, but the contents differ. Confirm correct quantities by variant before picking. A missing size cannot automatically be replaced by another.

Damage is a separate issue. A product can be present during counting yet need a condition decision. Record its SKU, quantity and identified problem in the agreed format; take photos if included in the brief. Separately confirm which goods can be used for further work.

What to compare after receiving

  • The batch and list version used for receiving.
  • Actual package or product unit counts, according to the selected method.
  • Quantities by SKU and variant where that counting was performed.
  • Identified discrepancies and separately requested inspection results.
  • Agreed actions for disputed positions.
  • Which goods are ready for storage, picking or shipment preparation, and when.

Questions and answers

Does box receiving include counting every product inside?

Not automatically. Receiving transport packages and checking individual products are different tasks. Before arrival, agree on whether boxes are opened, what is counted and which inspections are performed.

Is every product checked for condition and functionality?

The inspection scope is agreed separately. Receiving does not automatically check every property of every unit. Include completeness, condition, functionality checks or photos in the brief where required.

Can picking begin as soon as the batch arrives?

Readiness depends on the selected receiving method and required work. Vehicle arrival is not the same as goods readiness for picking. Confirm standard or urgent receiving and the next stage with the warehouse in advance.

Is a matching total product quantity enough?

For receiving by SKU, check each position and variant. The total can match despite a shortage of one SKU and extra units of another. Confirm discrepancies and further actions before picking.
